About the Role:
We're looking for an Accounts Payable & Payroll Specialist to join our Finance team. Reporting to the Controller, you'll be responsible for delivering accurate, timely payroll and accounts payable services while helping maintain strong financial controls across the organization.
This is a hands-on role that touches everything from full-cycle AP processing and bi-weekly payroll to pension and benefits administration. You'll work closely with Human Resources, support employee onboarding and terminations, and serve as a key point of contact for internal teams and external vendors.
The IWK Foundation has a Flexible Work Plan, embracing a hybrid model with the expectation of a minimum of 2 days in the office per week.
What You'll Do:
Accounts Payable
- Perform full-cycle AP processing: invoice entry, vendor management, and payment processing
- Monitor and manage the AP inbox; respond to internal and external inquiries
- Resolve vendor discrepancies and payment-related issues
- Administer the corporate credit card program and support expense management
- Process bi-weekly payments via EFT, cheque, and e-transfer
- Lead twice-weekly deposits and complete related reconciliations
- Oversee Specified Endowment fund disbursements to IWK Health Centre, including calculating spending allocations, preparing annual statements, and processing disbursement requests
Payroll
- Prepare and process bi-weekly payroll accurately, on time, and in compliance with legislation
- Maintain confidential payroll records and perform payroll data entry
- Prepare and remit statutory deductions, WCB, benefits, and pension contributions
- Administer pension and benefits programs (enrollments, changes, terminations)
- Complete payroll reconciliations, journal entries, and monthly accruals
- Prepare year-end documentation (T4s, T4As, pension adjustments)
- Support external audits with payroll documentation
- Respond to employee payroll inquiries with discretion
- Partner with HR on onboarding, terminations, Records of Employment, leave top-ups, and employee documentation
- Maintain payroll software and support system implementations as needed
Finance & Gift Entry (Back-Up)
- Provide occasional back-up for bank reconciliations, financial reporting, and other Controllership functions
- Support Gift Entry and donor data maintenance as needed
Requirements
What You Bring:
- Education: Post-secondary education (or equivalent experience) in payroll and/or accounting
- Experience: Minimum 2 years in Accounts Payable processing and/or payroll processing.
- Designation: Payroll Compliance Professional (PCP) designation preferred, or actively working toward it
- Strong attention to detail and commitment to accuracy
- Entrusted with sensitive and confidential information, maintaining the highest standards of discretion, professionalism, objectivity, and integrity.
- Effective communication skills for working with colleagues, vendors, and service providers
- Comfort collaborating across Finance, HR, and other teams
