This position is responsible for processing the accounting transactions for the Financial Services Department in compliance with the state accounting manual, state and federal laws and guidelines in the areas of, but not limited to: Local, State and Federal Grants and all associated reporting. Assist staff in revising and managing their grant budgets to ensure that reimbursements are secured in a timely and accurate manner. Continuous monitoring of activity objects to ensure sufficient allocations or initiating necessary adjustments. This includes proactively identifying potential shortfalls, resolving misallocations, and ensuring that programs are successfully funded. Ensures district funding is spent within allowable timeframes to avoid forfeiture of funds. This includes tracking multiple grant deadlines, issuing timely reminders to grant managers and department heads, and taking proactive steps to mitigate risks of unspent or unreimbursed funds. Processing of General Contracts including encumbering and payments from invoices. Receipts and deposits monies collected in Financial Services. Assist with the annual budget and financial reports. Perform internal audits; verify adherence to district policies. Monitor and balance monthly the YSD Labor and Industries checking account. Provide appropriate training in all related fiscal procedures. Assist with the monthly balancing for board reports, annual budget and financial reports.
Grant Fund Accountant Coordinator Functions
Create and maintain a variety of records, forms, documents and files.
Compile, create, and process district, state, and federal reports as required.
Monitor budgets
Ability to work effectively under pressure; work independently with minimal supervision.
Establish and maintain a professional and positive working relationship with coworkers, district staff members and the general public.
Maintain confidentiality.
Respond to inquiries from staff, parents, students and public agencies.
Assist other personnel as may be required to ensure an efficient and effective work environment.
Requirements
Minimum Qualifications:
Education and Experience
High School Diploma or G.E.D
Two years accounting or bookkeeping experience is required. Accounting Degree from Accredited College or University may be substituted for the required experience.
One year of University/College level accounting coursework is required. Accounting work experience may be substituted for the required coursework.
Experience in operating general office machines and computer software, including spreadsheets and word processing software applications is required.
School district governmental fund accounting experience required.
Experience using the Fiscal Skyward/WESPaC Software required.
Experience in internal auditing preferred.
Experience in budget preparation and monitoring preferred.
Experience in establishing and monitoring internal controls preferred.
Experience in public speaking and staff training preferred.
Established record of dependability, flexibility, and regular attendance.
Conditions of Employment
Employment is contingent upon passing a Washington State Patrol and Federal Bureau Investigation fingerprint screening examination and background check.
Maintain consistent presence at assigned worksite and regular work hours.
Comply with all District policies and operational procedures.
Must maintain punctuality and regular attendance.
Complete SafeSchools online training in accordance with the Yakima School District.
Obtain a CPR and First Aid Card if needed.
