Title: Accounting Associate
Status: Full Time – Non-Exempt
Reports: To: VP of Finance
Business Unit: Finance
Salary Range: $50,000 to $58,000 with some flexibility, based on the academic, professional, and community experiences and credentials of a candidate
Nature of Work
The Accounting Associate provides daily support to the financial operations and management of the organization. This position works closely with the finance team to ensure accurate financial record-keeping, compliance with regulations, and support of the foundation's mission through effective financial management while providing outstanding customer service to internal team members, donors, fund holders and the nonprofit community.
Essential Job Functions
- Prepare daily deposits, checks and credit cards, including research of questions on incoming gifts. Maintain the daily deposit log and enter transactions in the accounting system.
- Process donor gift acknowledgement letters accurately and in a timely manner. Coordinate with other departments to ensure accuracy. Monitor to ensure all letters have been completed.
- Distribute grant and accounts payable checks; verify accuracy of information on check prior to distribution and follow any special instructions.
- Process banking information for ACH program and complete verification calls.
- Create and upload positive pay files for checks issued.
- Review corporate credit card expenses, verify accuracy of coding, and enforce monthly reconciliation process by employees.
- Complete refunds and adjustments, as requested
- Assist in the preparation for financial audits, providing necessary documentation and support to finance team and auditors, as requested.
- Identify opportunities for process improvements within the finance department and contribute to the implementation of best practices.
- Create and update procedure manuals and processing guides related to position responsibilities.
- Perform individual and organizational record setup and updates in systems per guidelines and procedures.
- Maintain working files in accordance with the record retention policy. Formulate procedures for systematic retention, protection, retrieval, transfer and disposal of records.
- Maintain confidentiality of Community Foundation affairs in communication, both written and oral, and ensure such through appropriate filing and disposal of materials.
- Provide excellent customer service to internal team members, donors, fund holders and the nonprofit community.
Requirements
Knowledge or Skills
- To successfully perform the essential functions of this position, candidate must demonstrate the following:
- Proficiency in financial software and tools, such as Microsoft Excel. Desire to learn and adopt new technologies (WRIKE, Treasury Software, Salesforce, and Sage Intacct).
- Excellent attention to detail and accuracy.
- Strong analytical and problem-solving skills.
- Effective communication skills, both written and verbal, with the ability to interact professionally with internal and external stakeholders.
- Ability to work collaboratively in a team environment and manage multiple tasks and deadlines effectively.
- Commitment to the mission and values of Arizona Community Foundation and the nonprofit sector and able to present the organization in a positive and professional manner.
Other Requirements
- Associate’s degree or equivalent in finance, accounting, business administration, or related field.
- Two to five years of similar finance or accounting support experience required with a preference for nonprofit or philanthropic organization experience.
- Strong understanding of financial principles, accounting standards, and nonprofit financial management.
- Ability to work in person at the Phoenix, AZ office. Hybrid options will be discussed after successful onboarding / training period.
