Position Summary
This role is responsible for ensuring the accurate, timely and effective delivery of all tax, bookkeeping, fractional CFO, and IRS-related tasks. The individual will review tax returns and key financial deliverables; translate strategic tax initiatives into concrete tasks and ensure implementation; manage deadlines and workflow across tax, accounting, and IRS responses; act as the primary internal support for tax/accounting queries; monitor client communications to ensure nothing falls through the cracks; and enable senior leadership to stay focused on strategy by eliminating routine firefighting and triage. Key Responsibilities:
Oversee the production calendar for tax, bookkeeping, and IRS matters — including returns, correspondence, and strategy tasks.
Partner with the Project Manager to scope work, track upcoming risk items, and lead quick team check-ins to keep things moving.
Review selected tax returns and financial statements to ensure they match the strategy and resolve any issues; update checklists and mentor team members.
Translate approved tax strategies into concrete action items for the team and check that they’re implemented correctly; flag any discrepancies.
Spot process issues or gaps, propose improvements, update SOPs, and help track key metrics like on-time delivery and error rates.
Monitor client communications (shared inboxes, project tools, portals) and convert messages into tasks, keep clients informed, and ensure visibility of engagement status.
Serve as the first point of contact for internal tax/accounting questions; escalate only when needed with clear context and suggestions.
Serve as a client POC to assist with client issues, satisfaction, and retention.
Qualifications
5+ years of handson accounting/bookkeeping experience with U.S. business clients (preferably 7 & 8figure entities)
Proven experience managing endtoend delivery of tax returns (business + individual) and financial reporting processes
Strong technical capability in reviewing tax returns, financial statements and identifying material variances or misalignment to strategy
Experience translating strategic tax/financial initiatives into actionable tasks and verifying implementation (entity structures, elections, allocations, etc.)
Excellent communication skills: able to triage client messages, convert to tasks, and maintain visible status across engagements
Comfortable acting as internal support for tax/accounting queries and coaching junior team members
Demonstrated ability to identify process bottlenecks, refine SOPs/checklists, and track KPIs like ontime delivery, rework rate, and response times
Proficiency with account&tax systems such as QuickBooks Online (QBO Certification preferred), and familiarity with tools like Karbon or ClickUp is a plus
Highly organised, detailoriented, able to manage multiple priorities in a fastpaced remote environment
